There are a couple of things that I need to clarify regarding this tool. Please read these carefully, as these question will undoubtedly come up:
1- The roster creation tool for the teachers/staff is EXACTLY the same one that the Technology staff uses. The only difference is that for the teachers/staff, it will only run the roster for the particular school in which the staff person resides in Active Directory.
2- If you are used to getting the file in the root of the C: drive, this is not the case for this tool. Once it is created, the roster will be sent in CSV format to the user’s inbox. This will give us an additional layer of security and prevent roster files being scattered all over the user’s workstations.
3- The way the user is determined is by their membership to a particular OU. All 3 domains in which a user can reside could be valid. The requirements for a user that qualifies to use this tool successfully are as follows:
- The user needs to be in either the CVUSD, STUDENT or STUDENT2.
- Their user account needs to exist in the “Schools” OU in any of the 3 domains.
- Their user account needs to exist in either the Office, Staff or Teachers OU.
- EVERYTHING ELSE WILL FAIL!
The above means, that the technology staff, or anyone at the district office cannot use this tool.
Also note, that it is now even more important to make sure that the users are in their correct OUs. Let’s say John Doe currently works at Townsend, but his account is still in Ayala, the roster he requests will actually end up being Ayala’s roster, NOT Townsend’s. This will be corrected as soon as his account is in the correct OU. So, helpdesk, let us do our best to keep things as accurate as possible in AD, as this source is quickly becoming authoritative and a potential security risk if users are not correctly placed in it.
Also, this roster generator has all actions logged, so that we can keep track of who ran it, and when.
Now, since most of you will not be able to run this tool, unless you temporarily move your AD account to one of the required OUs, here are a couple of screenshots of the tool in action. (This will show up on every UMRA users who currently has access to the User Maintenance Application). The application in UMRA Forms is called: Site Roster Creation Utility
This particular instance is running under my user account which is currently placed in the Teachers OU in Anna Borba in the CVUSD Domain:

The only option at this point is to click on “Get
At this point, the user should get an email from “autoprocessor@chino.k12.ca.us”
which looks like this:
Notice that there is a CSV attached to the email. This CSV, unlike the Technology staff roster creation tool, will, in fact, create the header line for the users. So, all they have to do is import it somewhere, or reformat it to make it look nicer or so that it can be filtered.
I have not tested this on too many users, but I wouldn’t imagine that we’ll have any issues running it. If you hear of users having problems with it. Please report those to me, and I’ll fix them.
I’m not sure who will be responsible to communicate this to the users. I’ll leave that part to those appropriate people.
